Learn all you can do with Question Templates and Follow-Ups

DailyBot is here to help you manage your team, track progress and gather feedback from your team with automated Follow-Ups.

Each Follow-Up in DailyBot can use a template of questions, and you can have as many Question Templates as you need (depending on your DailyBot plan).

We'll walk you through the concepts and we'll give you tips to get the most of this feature in DailyBot.


What is a Template?

Think of a Template as a recipe that contains a set of questions that you will usually ask a member of your team in order to follow-up on some specific topic, project or initiative. A Template is a reusable recipe that you can bring on whenever you need to perform that follow-up.

In DailyBot, you can manage your own Templates and each manager in your team will be able to see the available Templates and use them when setting up a Follow-Up.

When you configure a new automated Follow-Up, you can specify the template of questions and the frequency for the Follow-Up, which means how often you want DailyBot to contact with your team member to then prompt the question set and get those reports for you.


What is a Follow-Up?

A Follow-Up is an automated process that you configure so DailyBot understands what team members should be contacted, on which days, and what questions should be asked for them to respond.

When you configure a Follow-Up, you specify the frequency (days for those questions to be answered) and optionally you can set a deadline for those reports to be ready, at the given deadline the reports are posted to one of your channels/rooms in your chat platform.


What can I do with a Template?

Now that you understand what a template is, we can talk about the possibilities that these templates open for you.

You can configure your own Templates to create Follow-Ups for several scenarios in day-to-day work, in example:

  • Daily Stand-ups
  • Sprint Retrospectives
  • Weekly All-Hand meetings preparation/feedback
  • Monthly check-ins for your OKRs
  • Regular product roadmap feedback from your own team
  • Employee onboarding experience/monitoring

How can I configure my Follow-Ups?

In order to configure your Follow-Ups, you should be prepared with:

  1. Knowing which team (people) will be part of that Follow-Up
  2. Knowing what question template you will use
  3. Knowing when/how often you want to run the Follow-Up

If you don't have the team already configured, you should navigate to the Organization > Teams page and create a team from there, then add the members you want to have in your team.

You can use one of our default Templates, or you can configure yours.

If you need to configure your Template, navigate to:
Follow-Ups > Skill Settings > Question Templates and then create your own Template by defining your own questions.

Create/Edit your Follow-Up

Create or edit your Follow-Up by navigating to the Follow-Ups skill > Skill Settings > My Follow-Ups. From this page you'll be able to create new Follow-Ups or edit your current ones.
